Job Summary

Reporting to the Senior Personnel and Resource Manager, the Stacks Maintenance, Fulfillment, and Resource Sharing Coordinator is a critical operational role responsible for ensuring seamless physical and electronic access to the library's collections. The Coordinator will directly supervise and train a team of student assistants, overseeing their workflow in stacks maintenance, collection retrieval, and resource delivery. A core function of the role is the comprehensive management of physical collections, including supervising daily reshelving and coordinating large-scale collection shifting and space planning projects. Furthermore, this position leads the library’s Interlibrary Loan (ILL)/Resource Sharing borrowing operations, which involves utilizing advanced library management systems, executing complex searches, managing delivery logistics, and ensuring compliance with copyright and resource sharing policies. The Coordinator also serves as a key resource for resolving complex patron issues, analyzing existing workflows, and implementing procedural improvements to maintain a high standard of efficient and effective service delivery across all functional areas.

The work schedule will be Sunday through Thursday, 12:45 pm to 9:15 pm.

This is a full-time temporary position for 12 months and is eligible for full benefits, including medical, dental, vision and CalPERS retirement. 

This position is located in Vallejo, California at the Cal Poly Maritime Academy.

Department Summary

The Robert E. Kennedy Library is nationally recognized for its distinction in engaging the students and faculty of the Cal Poly university community. While integrating traditional library resources and services with digital tools and platforms, the library continuously experiments to adapt its services, programs, and spaces to meet the evolving academic programs, research interests, and needs of the university community. Annual visits exceed 1.5 million.

Key Qualifications

  • Thorough knowledge of the library management system (LMS/ILS) for fulfillment, requesting, user management, and back-end configuration (e.g., terms of use, policies, system rules).
  • Thorough knowledge of library collection organization, classification schemes (e.g., Library of Congress), and the ability to interpret bibliographic records.
  • Knowledge of external online databases, library catalogs, and bibliographic resources, with the ability to perform online searches to verify citations and retrieve requested materials.
  • Expert working knowledge of interlibrary loan (ILL) standards, ethics, best practices, policies, and procedures, including specific knowledge of copyright and intellectual property protection as they apply to resource sharing.
  • Demonstrated ability to create article PDFs, scan articles from journals/documents, and efficiently manage physical and electronic material delivery logistics.

Education and Experience

  • High School or Equivalent certification plus three years of related library and/or clerical experience or an equivalent combination of experience and education.

Salary and Benefits

Anticipated Hiring Range:  $4,280 - $5,321 per month

Classification Range: $4,280 - $6,235 per month

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Anticipated Hiring Range referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Classification Range may be broader than what the University anticipates paying for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
