Job Summary:

Under the direction of the Director and the general supervision of the office lead, the Administrative Support Assistant will perform a wide range of moderate to complex clerical, secretarial, and administrative duties, including tasks related to medical records, to support Counseling & Psychological Services (CAPS).

Duties and responsibilities.

  • Schedules and maintains counselor appointments each semester using clinical scheduling software to ensure coverage.
  • Manages CAPS schedule by handling service requests and accurately inputting appointments.
  • Performs front desk duties including greeting clients, check-ins, and assisting with intake forms.
  • Verifies student eligibility through PeopleSoft and ensures accurate demographic data.
  • Applies knowledge of university policies and HIPAA compliance in all front office interactions.
  • Serves as first point of contact, resolving inquiries or routing them appropriately using strong problem-solving and communication skills.
  • Supports clinic opening and closing procedures, ensuring tasks are completed efficiently and per established protocols.
  • Provides administrative assistance to the ASC, Director, and Counselors as needed.
  • Manages multiple priorities such as distributing mail, retrieving CAPS checks from the Bursar’s Office, and keeping the waiting area stocked and organized.
  • Performs routine clerical duties to support daily clinic operations.
  • Scans physical documents and forms for import into medical record-keeping software and maintains accurate records.
  • Processes and coordinates incoming and outgoing clinical correspondence and documents.
  • May be required to travel to the PDC campus as needed.
  • Other duties as assigned.

Minimum Qualifications: Required Education and Experience

• High school diploma or its equivalent and two years of experience in general office clerical or secretarial work or the equivalent.

Required Qualifications

• Experience to be proficient in performing most or all work assignments.
• General working knowledge of applicable university infrastructure, policies, and procedures.
• Thorough knowledge of office methods, procedures, and practices.
• Fluency in using standard office software packages.
• Thorough knowledge of English grammar, punctuation, and spelling.
• Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
• Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
• Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
• Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
• Demonstrated competence in effectively presenting standard information in writing.
• Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.

Preferred Qualifications

  • Previous experience in behavior health or medical clinic
  • Previous experience with medical record keeping software
  • Certification of HIPAA: Protecting Patient Privacy training
  • Strong communication and customer service skills
  • Strong listening skills
  • Ability to manage high volume, fast paced telephone and in-person inquiries
  • Strong multitasking and organizational skills
  • Ability to work independently and make independent decisions regarding clinical scheduling
  • Ability to manage emergency/crisis calls or walk-ins while effectively gathering information
  • Ability to remain calm and make decisions in stressful situations
  • Basic computer skills including Windows OS, email, word processing, spreadsheets
  • Advanced computer skills with medical record keeping software

Compensation and Benefits:

Anticipated Hiring Range: $3,680 - $3,864 per month

Classification Salary Range: $3,680 - $5,417 per month

The salary offered will take into account internal equity and experience among other factors.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Work status: Full-time/Non-Exempt/Probationary

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment.  CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Drivers License Check

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.
